Internal reporting channel

An internal reporting channel that meets the procedure and works in practice

The Act of 14 June 2024 requires an internal reporting channel from entities for which at least 50 people perform paid work, and from public-sector entities. Here's what such a channel actually consists of.

What an internal channel is

It's an established procedure for accepting and verifying reports, running an investigation and taking follow-up action — not just an email address or a mailbox in the hallway.

Who must have one

Entities for which at least 50 people perform paid work, and public-sector entities. The obligation may also apply to smaller entities in regulated industries.

Three acceptable report forms

  1. 01

    Written

A form on the portal or a letter — with confirmation of receipt within 7 days.

  2. 02

    Verbal

A phone call or another voice channel, with a transcript if the reporter agrees.

  3. 03

    In person

At the reporter's request, at a time agreed with the organisation, also with a transcript.

Deadlines the system tracks, not the calendar

Confirmation of receipt within 7 days and feedback on follow-up actions within 3 months are calculated automatically from the procedure, with a visible rule and a change history.

Who can handle reports

Only people with written authorisation. Conflict-of-interest rules exclude the person the report concerns and reassign the case to a substitute.

Register and retention

Every report goes into the register required by law. We store data according to the agreed retention plan, with the option of a legal hold.

Channel implementation checklist (8 points)

  1. 01Choose the person who receives reports and their substitute.
  2. 02Prepare an internal reporting procedure from the template.
  3. 03Set the report forms: written, verbal and in-person.
  4. 04Configure the portal at your organisation's address.
  5. 05Set up routing and conflict-of-interest rules.
  6. 06Test the 7-day confirmation on a trial report.
  7. 07Publish information about the channel to employees and associates.
  8. 08Schedule an annual review of the procedure and register.

Questions we hear most often

Does the reporter have to use a company email address?

No. The portal works without an account and without an email address. That matters for candidates, former employees, suppliers and contractors.

Does a report have to be made internally first?

No. The reporter can go straight to an external report to the competent authority.

Can we migrate a register from Excel?

Yes, as the individually priced “Data migration” service. In the panel you can import users, the organisation structure, categories and the procedure text yourself today.

What happens after the subscription ends?

After you contact us, we provide a standard copy of your data free of charge within 7 days. The link is valid for 7 days and can be renewed.
